Who we are

AuditionAlert is a notification service that monitors casting platform email alerts and delivers them to actors via WhatsApp, with Google Calendar integration for availability checking and deadline reminders. AuditionAlert is operated by Ryan Hicks, based in Australia.

What information we collect

We collect only what we need to deliver the service:

• Your name — to personalise your alerts and communications
• Your email address — to send you setup instructions and service updates
• Your WhatsApp number — to deliver your audition alerts
• Your Google Calendar access — to check your availability and create deadline reminders
• Forwarded casting notification emails — the email content your casting platforms send you, which you choose to forward to us
• Payment information — processed securely by Stripe. We never see or store your card details.

What we do with your information

Your information is used only to deliver AuditionAlert to you:

• We parse your forwarded casting emails to extract audition details (project, role, deadline, type)
• We check your Google Calendar for availability conflicts
• We create calendar reminder events on your behalf
• We send you WhatsApp notifications containing your audition details
• We contact you by email regarding your account and service updates

Email attachments and sides

Casting emails sometimes contain attached script pages (known as "sides") which are copyrighted material belonging to the relevant production company or broadcaster. Our system is designed to process email text content only. We do not open, read, store, or process any attachments contained in forwarded emails. Attachments are discarded automatically.

How long we keep your data

• Your account information is kept for as long as you are an active subscriber
• Forwarded email content is processed in real time and not stored beyond what is necessary to generate your WhatsApp alert
• Google Calendar tokens are stored securely and deleted immediately upon account cancellation
• Upon cancellation of your account, all personal data is deleted within 30 days

Third party services we use

To deliver AuditionAlert we use the following trusted third party services:

• Google Calendar API — for availability checking and reminder creation
• Twilio — for WhatsApp message delivery
• Airtable — for secure subscriber record storage
• OpenAI — for parsing email content to extract audition details
• Stripe — for payment processing
• Make.com — for workflow automation

Each of these services operates under their own privacy policies and security standards. We only share the minimum information required for each service to function.

Your rights

You have the right to:

• Access the personal information we hold about you at any time
• Request correction of any inaccurate information
• Request deletion of your data (we will action this within 30 days)
• Withdraw your Google Calendar access at any time via your Google account settings
• Cancel your subscription and have all data deleted

Security

We take reasonable steps to protect your personal information from unauthorised access, misuse, or disclosure. Your unique intake email address is generated specifically for you and should not be shared with others. Google Calendar access tokens are stored securely and encrypted.

Australian Privacy Act compliance

AuditionAlert operates in compliance with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs). If you believe we have not handled your personal information appropriately, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

International users

AuditionAlert is available globally. If you are located in the European Union, you have additional rights under the General Data Protection Regulation (GDPR). By using AuditionAlert, you consent to your data being processed in Australia and by our third party service providers who may be located in other countries.

Changes to this policy

We may update this privacy policy from time to time. We will notify active subscribers of any material changes by email. The date at the top of this page reflects when the policy was last updated.
